Terms of Service

These Terms of Service (“Terms”) govern your use of thetrustedsigners.com and any mobile notary, loan signing agent, Remote Online Notarization (RON), apostille, or certified translation coordination service booked with The Trusted Signers (“Trusted Signers,” “we,” “us,” or “our”). By booking an appointment, using our website, or accepting a signing, you agree to these Terms.

1. Our Services

Trusted Signers provides mobile notary and loan signing agent services throughout Palm Beach County and surrounding areas, Remote Online Notarization available to signers anywhere, apostille and certified translation coordination, and general notarial acts (acknowledgments, jurats, oaths and affirmations).

We are not a law firm.Trusted Signers is a notary public and signing agent — not an attorney. We cannot give legal advice, tell you which documents you need, draft or explain a document's legal effect, or advise you on whether to sign it. For legal guidance, consult a licensed attorney in the relevant jurisdiction.

2. Who Can Use Our Services

To be notarized, you must:

• Be at least 18 years old and have the legal capacity to sign the document presented.
• Present a valid, unexpired, government-issued photo ID (e.g., driver's license, passport, or military ID) that satisfies Florida's notary identification requirements.
• Personally appear before the notary — in person, or through live, two-way audio-video technology for RON — at the time of signing.
• Sign, and appear to sign, willingly, competently, and free of duress or undue influence.
• Bring the document unsigned. A notary can only witness a signature made in their presence — documents signed beforehand cannot be notarized.

Florida law and the standards of practice governing notaries permit — and in some cases require — a notary to decline a notarization if any of the above isn't met, if the notary has reasonable doubt about a signer's identity or capacity, or if the notary is asked to notarize a document in a matter in which they have a personal interest. We reserve the right to decline or stop a signing under these circumstances.

3. Remote Online Notarization (RON)

If you choose RON, you additionally agree that:

• Your session will be conducted through our approved RON technology platform and requires a working camera, microphone, and stable internet connection.
• You will complete identity verification, including credential analysis of your ID and knowledge-based authentication (KBA) questions, as required by Fla. Stat. § 117.245.
• Your entire notarization session will be recorded on audio-video and retained by our RON platform for a minimum of 10 years, as Florida law requires.
• If identity verification fails or you don't meet RON's requirements, we may be unable to complete the notarization. Fees already incurred for identity-verification steps that were completed are non-refundable; the notary fee itself is only charged for a completed notarization.

4. Booking, Fees & Payment

• Prices shown on our site are “starting at” estimates. Your exact price is confirmed before your appointment based on the specific service, number of signers and documents, distance, and any add-ons (witness coordination, scan-backs, translation, after-hours or same-day scheduling).
• Florida law caps the fee for a standard notarial act (acknowledgment, jurat, oath) at $10 per signature. Additional service and travel fees, where they apply, are separate from and disclosed alongside the statutory notary fee.
• Travel fees apply to in-person appointments and are based on distance; RON appointments carry no travel fee.
• Payment is processed through Stripe. A deposit may be required to reserve certain appointments.

Cancellations & rescheduling

Please give us as much notice as possible if you need to cancel or reschedule. Late cancellations, no-shows, or a signer who isn't ready at the scheduled time (missing ID, unsigned document not available, etc.) may be subject to a fee, which will be disclosed to you at the time you book.

5. Your Responsibilities

• Provide accurate information when booking (name, contact details, service needed, location).
• Bring a valid, unexpired photo ID and the unsigned document to your appointment.
• Review your documents in advance — we can explain what a notarization does, but not what the document means for you legally.
• Be available at the agreed time and location, or log in on time for a RON session.

6. Apostille & Certified Translation Orders

Apostille and certified translation services are fulfilled directly or coordinated with third-party partners, government agencies (such as a Secretary of State or the U.S. Department of State), or foreign consulates. Processing times we provide are estimates; we are not responsible for delays caused by a government agency, courier, or third party outside our control.

7. Referral Partners

We work with and receive referrals from title companies, attorneys, lenders, and real estate professionals. Working with a referral partner on your transaction doesn't create any attorney-client, fiduciary, or agency relationship between you and Trusted Signers beyond the notarial or signing-agent service we're engaged to perform.

8. Website Use & Third-Party Tools

Our website, its content, and our branding are owned by Trusted Signers and may not be copied or used without permission. Our booking calendar, quote calculator, and payment processing are provided by third-party platforms (currently including GoHighLevel and Stripe) and are subject to those providers' own terms in addition to ours.

9. Disclaimers

Our services are provided “as is.” Except as required by Florida law governing notarial acts, we make no warranties, express or implied, about the services or the website, including as to their fitness for a particular purpose. We don't warrant that a document we notarize will be accepted by any third party (a lender, court, government agency, or foreign authority) — acceptance requirements are set by that third party, not by us.

10. Limitation of Liability

To the fullest extent permitted by law, Trusted Signers' total liability for any claim arising from our services is limited to the amount you paid for the specific service giving rise to the claim. We are not liable for indirect, incidental, or consequential damages, including a lost transaction, missed closing, or rejected document, except where that limitation is not permitted by law or would conflict with the statutory duties and liability of a Florida notary public.

11. Indemnification

You agree to indemnify and hold Trusted Signers harmless from any claim, loss, or expense arising from your breach of these Terms, misuse of our services, or the accuracy of information or identification you provide to us.

12. Governing Law & Disputes

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute arising from these Terms or our services will be brought in the state or federal courts located in Palm Beach County, Florida. Before filing a claim, please contact us — most concerns can be resolved directly.

13. Changes to These Terms

We may update these Terms as our services or the law changes. The “Effective” date above reflects the latest revision. Continuing to use our services after an update means you accept the revised Terms.

14. Severability

If any provision of these Terms is found unenforceable, the rest remain in full effect.
